This policy covers dogtoothinc.com, the work we do for clients, and our client portal at portal.dogtooth.ai. "Dogtooth", "we" and "us" mean Dogtooth LLC.
Our website
We don't run analytics, ad pixels or tracking cookies on dogtoothinc.com. If you book a call, Calendly collects your name, email and the details you enter, and shares them with us so we can meet. Calendly's own privacy policy covers how they handle it. Our hosting provider, Cloudflare, keeps standard server logs (like IP address) for security.
Information you give us
When you email us, book a call or become a client, we keep your contact details and our conversations so we can do the work. We don't sell or rent your information, and we don't use it for anything unrelated to working with you.
Client systems and data
Client work often means we have access to your store, email platform, CRM or other tools. We use that access only to do the work you've asked for, under our agreement with you. Your data stays yours. We don't copy it into our own systems except where the work needs it, and we remove our access when an engagement ends or when you ask.
Client portal
Our client portal is a private, invite-only reporting tool for our team and our retainer clients. It shows each client the work we're doing for them, the time spent on their account, and the invoices we've sent them. It stores:
- Your name and email address, so you can sign in.
- Tasks from our project management tool (ClickUp) and time logged in our time tracker (Hubstaff) for your account.
- Invoices from our own QuickBooks Online company file: invoice number, dates, amounts, balance and status.
Each client sees only their own information. Dogtooth staff can see all client accounts. Portal data is stored with Supabase and Vercel in the United States and is encrypted in transit and at rest.
QuickBooks data
The portal connects to Dogtooth's own QuickBooks Online company, not to any client's books. It only reads invoice information so we can show clients the status of their invoices. It never creates, changes or deletes anything in QuickBooks. We don't share or sell QuickBooks data, and we don't use it for advertising. The connection tokens are stored on our servers, never in a browser, and we can disconnect the app from QuickBooks at any time, which stops all syncing right away.
How long we keep things
We keep client information for as long as we work together and as long as we need it for accounting and legal records after that. Ask us and we'll delete anything we don't have to keep.
Security
Access to our systems is limited to the people who need it, and we use multi-factor authentication on the accounts that hold client data. No system is perfectly secure, but we take care to protect what you trust us with and we'll tell you promptly if something affecting your data goes wrong.
